Job Description

PTAC is seeking a highly organized and motivated Events and Membership Coordinator to support the planning and delivery of PTAC events and membership activities. This part‑time contract role is well suited to someone with experience in event coordination, stakeholder engagement, and member relations. The successful candidate will work closely with PTAC staff, members, and partners to help deliver high‑quality events and support a strong, connected membership community.

Key Event Coverage

  • PTAC Annual General Meeting (AGM)
  • Energy Table Breakfast Series (three per year)
  • Technology Information Session (TIS)
  • Digital Innovation Forum (DIF)
  • Community of Practice gatherings (e.g. TEREE)
  • AUPRF Events
  • CERAWeek coordination and similar external events

This position does not lead the Methane Leadership Summit (MLS) but will provide coordination and support to the external MLS event coordinator as required.

Responsibilities

Reporting directly to the President and CEO, and working closely with the PTAC team, the Events and Membership Coordinator will be responsible for:

Event Planning & Delivery:

  • Coordinate planning and delivery of assigned events
  • Develop workback schedules and manage timelines
  • Coordinate venues, AV, catering, registration, signage, and speakers
  • Liaise with members, partners, vendors, and staff
  • Prepare presentations, run-of-show materials, and logistics
  • Provide on-site or live event support
  • Complete post-event documentation

Membership Coordination:

  • Track and support delivery of membership benefits
  • Maintain member contact lists and participation records
  • Support renewals and follow-up
  • Coordinate member involvement in panels and events

Communication & Reporting:

  • Participate in weekly or bi-weekly check-ins
  • Provide clear status updates and flag risks early
  • Maintain organized trackers and documentation

Experience and Skills Required:

  • Proven experience coordinating professional, industry, or member‑focused events
  • Strong administrative and organizational capabilities
  • Comfortable engaging with a range of stakeholders
  • Detail‑oriented, proactive, and eager to learn
  • Ability to manage multiple tasks and deadlines

Contractor Engagement

This is a hybrid, part‑time independent contractor role. The contractor will be expected to work on-site in our Calgary office two days per week. As an independent contractor, you will invoice for hours worked and are responsible for managing your own statutory deductions and benefits.
